Dear Homeowner,

Your volunteer HOA board has diligently interviewed several management companies and Clark Simson Miller is honored that we have been retained as the financial management firm of choice. Clark Simson Miller will assume this responsibility effective June 1, 2019. As your association is currently in transition with our company, we ask for your patience and understanding while we transfer your association files into our system. It can take up to 30 days to completely gather all the necessary information for a transition.

Our primary goal is to provide financial management services to your community. This includes the billing and collection of dues payments, handling association invoices from vendors, providing administrative support to the board, and working together to help the association meet its short term and long term financial obligations.

As such, Clark Simson Miller only handles concerns within the financial realm of managing the association. These concerns can be directed to support@csmhoa.com or by calling our office at the number above. We strongly encourage all homeowners to use the web portal for basic inquiries. Your web portal will have your account balance, contact information, and other information related to the association. Please keep in mind that some of this information will not be available until after the transition period as we are working to load everything into our system.

Please visit the web portal to make sure we have your up-to-date contact information. Please remember to update your portal anytime you make changes to your contact info.

If you have a concern that is “non-financial,” it should be sent to your Board of Directors for assistance.

Instructions for Online Account Access

CSM provides a web portal at no cost to the association. This portal allows all homeowners to access their individual account history as well as documents and information related to the community. Please note that some of this information may be missing as we work through the transition period with your association. To access your account, please use your web browser and go to the website below. Once you log in, you will be able to change your password to one of your choosing. If you need assistance, please send an email to support@csmhoa.com. All requests will be answered within 1-3 business days.

Instructions for Online Payments
In addition to sending a check, CSM offers multiple options for owners to pay their dues. To pay your dues online, please visit http://www.csmhoa.com/e-payment and click the “Pay Dues Online” button. We accept electronic checks, ACH draft, and all major credit cards. Please note that credit card payments will incur an additional fee by the bank to cover the processing costs.
Automatic Withdrawal of Association Dues (ACH)
We offer the convenience of Automatic Direct Draft (ACH Draft) for your association assessments. The ACH Draft eliminates the need for you to write checks by debiting your homeowners’ association assessments from your bank account. The Heritage Lakes Homeowners Association Board of Directors invites you to attend the 2019 Annual meeting on Thursday, April 4, 2019 at 7:00 pm at the Heritage Lakes Clubhouse. The meeting is intended to achieve the following objectives:

  1. Provide homeowners with details on all activities that have transpired in 2018
  2. Provide an insight into the planned activities for 2019
  3. Conduct elections for the Board open positions as mandated by the HOA Bylaws. The available Board positions are President, Treasurer and Secretary. Once Officers of the Board are elected, the officers will decide on the appropriate structure to achieve staggered terms. We are asking homeowners to provide their nomination for these positions. Please use the enclosed form for your nominations.

Dear Neighbor,

I would want to take this opportunity to wish all of you a happy 2019 and extend a warm welcome to new neighbors. If we haven’t already met, I look forward to getting to know you all. Our community website (www.heritagelakeshilliard.org) is a major communication channel between the HOA Board and homeowners. Please take a few minutes to visit and familiarize yourself with its resources.  We encourage all of you, and in particular, new neighbors, to please take the time to read through the Bylaws and Covenants.

Our mission, as a Board, is to act as representatives of the Heritage Lakes community in the overall daily management of the community’s business and interest. Guided by the HOA by-laws and other controlling documents, we are committed to being transparent and inclusive and act professionally with courtesy and respect.

In this letter, I would like to give you an update on major events, upcoming activities, volunteer information and announcements.

  •   At the end of 2018, our Property Management contractor, Full Circle, sent out the 2019 HOA dues statements. Payment is due by January 31, 2019 in order to avoid late fees. We appreciate your timely payment.
  • In late June 2018, several neighbors volunteered to work on the landscaping of the Heritage View Court roundabout. We appreciate the time and effort that our neighbors put into this project.
  • We identified several dead trees in the Heritage Lakes median and Inpatients Park for removal. Our contractor removed the identified trees and stumps are scheduled for removal in January, as weather permits.
  • In mid-December, we planted red tulip and daffodil bulbs at four corners. We wanted to add some color where the irrigation system is out of reach.
  • In the spring, we will be planting several new trees to replace some of the removed trees.
  • The HOA Board terminated the contract with HDL Landscaping at the end of December and signed a new contract with Earth Art Landscaping beginning January 2019. We are excited to work with Earth Art Landscaping and are confident they can help us revitalize the landscaping in our neighborhood.

We all take pride in our homes and our neighborhood. We ask that you do your part in maintaining and improving our neighborhood by taking the following simple actions:

  1. Contact the Design Review Committee (ARC) before you begin any exterior improvement projects on your property. For your convenience, there is an online form on our Website that must be completed before initiating any exterior construction or improvement projects https://heritagelakeshilliard.org/architectural-review-form/
  2. Please be courteous to your neighbors by not parking cars on the street for extended periods of time.
  3. Please do not put your trash out for collection more than 24 hours prior to trash collection day. Also, please stow away trash cans promptly away from public view.
  4. Please maintain your mailbox and post.
  5. Please remove all Christmas decorations promptly. Each year we receive many complaints from neighbors regarding this issue.
  6. The City of Hilliard planted 10 new trees in our neighborhood in November 2018 and provided homeowners with information on caring for the new trees.
  7. Please plan on attending our upcoming Homeowners Association meeting in April. You will receive a mailed announcement in the mail.
